Excel or ERP — when it’s time to switch
Five signs Excel is holding the company back, when Excel is perfectly fine and how to switch without chaos.
Excel is a great tool. The problem isn’t Excel — it’s when a whole company runs on spreadsheets only one person understands. Here’s how to tell when it’s time for more.
Five signs you’ve outgrown Excel
- The same data is entered several times — in a sheet, in the invoicing software and on paper.
- There are “versions” — final, final2, final-real.
- Stock doesn’t match reality, and every count brings surprises.
- One person makes the reports and they take days.
- Several people must work at once — and the file locks or overwrites someone’s work.
When Excel is perfectly fine
If you’re a small company, one or two people enter data and there’s a single site, Excel is fast and free. Don’t replace something that works just because “everyone has an ERP”.
What an ERP actually changes
- One database — data is entered once and everyone sees the same thing.
- Roles — everyone sees and edits only their part.
- History — you know who changed what and when.
- Real-time reports, without stitching sheets together by hand.
How to switch without chaos
- Describe processes as they are, not as they “should” be.
- Clean up the master data: items, customers, prices.
- Start with one module — usually the warehouse or sales.
- Run in parallel for a short time, then retire the spreadsheet.
You don’t need an off-the-shelf ERP full of modules you won’t use. A custom system can grow with you. More about custom ERP →
